Planning a Conference

Corporate event planning can be just as creative a project as a wedding

Richmond, BC - October 1, 2010 - Planning a conference entails many of the same event planning tasks needed to put together a fundraiser or even a destination wedding (without the cake toppers, of course!). Before delving into the nitty gritty details of the exact location or who to contact about promotional items, sit down with the client and run through a loose itinerary of the event as a whole.

How to Plan a Conference

Registration - Depending on the number of attendees and the complexity of the corporate event, the registration process can be as simple as securing an employee to greet guests and crossing off names. Larger corporate conferences may require an event management computer system that will allow the planner to track guest's arrivals, secure payments, and even supply a detailed report to help with the success of a future event.

Transportation - To attend the conference, guests may require an airport pickup or transportation to the venue. When you start to plan a conference, large buses or chauffeured cars may need to be pre-booked.

Organization - Often, a conference elicits the need to book one large ballroom and several smaller "breakout" rooms. Ensure the venue has the right capacity needed for the event as well as catering facilities, on-site or close by.

Theme - It is important to add a bit of fun into a corporate conference and playing with an interesting theme or incorporating some talented musicians into the mix will ensure guests will be RSVPing even quicker for a future event!  After all, "All work and no play" might just keep the guests away!
